Office Administrator

One of our clients, in the engineering industry is looking for an Office Administrator to handle the quality assurance documentation and general administration of the office, including submittals of drawings and other documents, preparation of manuals, assisting the Managing Director, business development, projects and quality manager.

Main responsibilities:
  • Filing of information/records – both soft and hard copies
  • Ensure personnel records are maintained and updated, as necessary.
  • Ensure stationery requirements are satisfied.
  • Updating organisation s database with documents related; RFIs, submittals, minutes of meeting and all correspondence both incoming and outgoing.
  • Schedule internal and/or external meetings and inform attendees, may include organising conference calls or large events
  • Organise training for all personnel as required by management: booking of training, flights, accommodation, travel expenses.
  • Work permit applications for both eu and non eu countries.
  • Greeting of all visitors including clients and suppliers
  • Organising employees uniforms and/or safety wear
  • Preparation and submittals of equipment, drawings, FDS, Points lists etc.
  • Update the Quality Assurance files and ensure compliance with procedures.
  • Updating project specific Quality Plan.
  • Updating procedures for internal document distribution.
  • Ensure procedures are amended, updated and distributed, as required.
  • Ensure that the yearly quality audit programme is formulated in the beginning of the year and all resources are available to follow this programme.
  • Reviewing & testing selected procedures with departmental members
  • Organise, oversee and ensure the successful completion of the yearly external audit
  • Keep updated with the latest ISO updates and any training, which may be required.

Any other general administrative duties required by management. 

Requirements:

Candidate to be smart, meticulous, good team player, have an eye to detail, be able to work with minimum supervision

  • At least two years experience in an office environment
  • Good knowledge of Microsoft Office including word, excel, PPT and databases
  • An advanced level of education, further qualifications considered an asset
  • High level of spoken and written English and preferably Maltese too
  • Excellent organisational and communication skills
