Document Controller

One of our clients, with a base in Malta but with activities spreading across countries and continents, handling projects from conception to completion, is looking for a meticulous Document Controller. Having a diverse portfolio of international clients, offering a vast array of services with a passion for detail and commitment to deliver the highest specifications and quality. Their highly talented teams together create iconic and transformational projects in various countries including Malta, Kiev, Brussels, Prague, Africa and others.

Main responsibilities:
  • Working on a full-time basis, the chosen candidate will primarily be responsible for the following duties:
  • Carrying out the duties of a document controller including but not limited to the management of all project documentation, filing and archiving, and ensuring accessibility of specific materials to specific stakeholders;
  • Coordinating effectively with internal team members to deliver and receive coordinated and controlled information and documents, to/from all parties concerned;
  • Managing and ensuring the seamless distribution of technical documents in both electronic and hardcopy formats as required;
  • Managing and leading the company’s document control software;
  • Controlling, managing and coordinating all information that’s issued for review, approval, construction, etc. on the projects’ electronic document management system (EDMS);
  • Issuing, registering and coordinating the correct distribution and allocation of all official correspondence and documents between the project team, client, contractors, sub-contractors and authorities as well as between third parties and vendors;
  • Keeping minutes of all meetings held, distributing these in a timely manner
Requirements:
  • A proven track record with several years’ experience working in a construction environment and with Document Control delivery of complex and/or large scale projects
  • Preferably have a bachelor’s degree in a related field, such as Construction or Project Management. An MRICS/FRICS and/or other recognised Project Management certification would be considered an asset.
  • Ideally be cognisant and abreast with all applicable standards, legislations and practices applicable to the construction industry in Malta, having also technical and commercial acumen of infrastructural and large scale projects;
  • Proficient in the use of ASITE as well as Microsoft Office. Knowledge in Primavera and MS Project, BIM, AutoCad, and/or other related project management/design systems would be considered an asset;
  • Exceptional written and verbal communication skills in English;
  • Able to work under pressure and to work closely with others in a multidisciplinary environment;
  • Attention to detail, a meticulous approach, the ability to understand and express technical concepts accurately with confidence and clarity;
  • Excellent planning and organisation skills, a high level of integrity
  • A motivated team player demonstrating an eager and positive work ethic.
